Registrations for any Tabletop Vacations Event in 2025 and registrations for 2026 Events that are purchased in 2025 are governed by the below terms and by registering for any such Event the purchaser agrees to abide by the same. D&D in a Castle Terms and Conditions
Payments, Cancellation and Refunds

Full refund within 7 days of purchase: Tabletop Vacations Inc. (TVI) will provide a full refund of any amounts paid to TVI for registration and/or accommodation at the event, including any deposit paid by the guest, provided the request for refund is made within 7 days of registration. Refund requests pursuant to this Condition must be made by email to contact@dndinacastle.com.

Other than as set out herein, registration and all upgrades are non-refundable and cannot be exchanged for credit.

Registration can be transferred to another person for a fee of $250.

Refund Protection Program: We offer on our site an optional Refund Protection Program at additional cost. This program makes all monies fully refundable up until the event itself for a surcharge (as long as you meet the REFUND TERMS & CONDITIONS of the policy).

b. The terms of the policy cover specific reasons for cancellation, including some (but not all) covid-related situations, please read the terms and conditions carefully.

Guests may choose their Dungeon Master (“DM”) by purchasing the DM Selection Upgrade for that DM, subject to space at that DM’s table, which is limited to 6 guests.

Any guest who does not purchase a DM Selection Upgrade before 60 days prior to the Event will be assigned at the discretion of TVI to the campaign of one of the DMs listed as a Campaign DM at the Event.

Guests registering within 60 days of the Event may purchase a DM Selection Upgrade at time of registration.
-
Dungeon Master selection is non-refundable except as part of a registration refund as set out herein. To transfer to a new DM, or to Hardcore Mode, the guest forfeits any previously paid DM selection fee and must pay the selection fee again for the new table they are transferring to. Transfers are always subject to space at the table being transferred to. Transfers requests within 60 days of the Event will be at the discretion of TVI to allow.

Event Cancellation: If TVI cancels the event, or the registration of a guest, the liability of TVI is limited to the refund of amounts paid by or on behalf of the guest towards registration and/or accommodation at the Event, including all upgrades.

DM Cancellation: If a DM is no longer able to attend the Event, guests registered at that DM’s table will have the option of selecting a different DM at the Event, subject to space, or receiving a refund of the DM Selection fee only. No refunds will be made of registration fees or upgrades other than DM Selection in the event of a DM Cancellation.
Liability

TVI makes no representations or warranties regarding the DMs, the GMs, the NPCs, the Venue, the service-providers or the other guests at the Event and TVI is not responsible for any loss or damage caused by any DM, GM, NPC, any Venue or Venue staff member, service-provider or guest at the Event.

TVI shall provide one shuttle to the Castle from a location and at a time fixed by TVI in its sole discretion.

TVI shall provide one shuttle from the Castle to a location and at a time fixed by TVI in its sole discretion.

TVI shall advise all guests by email of the time and location of each shuttle at least 30 days prior to the event.
-
The shuttle shall have capacity for all guests of each round of the Event.

TVI shall not provide compensation for any other form of transportation taken by guests who do not ride the shuttle to or from the Castle.
Venue
-
No persons other than registered guests of the Event are permitted at the Venues during the Event, except with permission of TVI.
-
Guests may not bring outside food or drink onto the premises of the Venues without consent of TVI.
-
Guests may not vend, give away or promote in any way any goods or services during the Event to either guests or Dungeon Masters without consent of TVI.
Media and Photography
-
Guests may take photographs or video for personal use only, subject to Condition 3 under Media and Photography, below.

Guests may record or share images or video of the Dungeon Masters present at the Event only with the permission of the Dungeon Master.
-
TVI hereby gives notice that common areas of the Venues will be considered public spaces for the purpose of media capture such as video and photography, and that such media may be used by TVI or its sponsors or affiliates for commercial or other purposes. Registration and attendance at the Event shall be taken as consent by guests to such use of their image and waiver of any right to compensation in connection with such use and as consideration for attendance at the Event. No unilateral revocation of such consent shall be taken to override this condition unless expressly accepted in writing by TVI.
Indemnity and Risk

Guests shall indemnify and save harmless TVI, their employees, heirs or assigns, for damage or loss of any kind, caused by the actions of the guest, whether negligent, willful or otherwise.

Guests assume the risk of all activities in which they elect to participate in connection with the Event.
-
TVI and their employees, heirs or assigns, are not responsible for any loss or damage to property or person during or as a result of the Event.
Harassment & Removal Policy
Our overnight events involve long periods of time for guests in close quarters. As such, Tabletop Vacations Inc (“TVI”) takes responsibility for the comfort and enjoyment of all guests seriously and reserves the right to take action to ensure a safe and welcoming atmosphere for all guests.

Guests agree to treat all players, DMs, staff, volunteers, and all others present at or participating in the event with respect, courtesy and goodwill.
-
Harassment and unacceptable behaviour by a guest, whether towards other guests, Dungeon Masters, staff or volunteers of either the Venues or the Event, constitute a breach of contract by the guest and will not be tolerated.

Harassment and unacceptable behavior include, but are not limited to the following:
-
Repeatedly ignoring requests from your DM and other players to change your, or your character’s behavior.
-
Unwanted physical touch or sexual advances or remarks towards another player or their character, in-game or out-of-game.
-
Racist, sexist, homophobic, or other hate speech.
-
Use or dealing of illegal drugs.
-
Gross intoxication.
-
Repeated disregard for the terms and conditions contained herein.
-
TVI reserves the right to limit or terminate the participation of any guest whose conduct is seriously impacting the safety or comfort of other guests.
-
Anyone engaging in harassing or unacceptable behaviour may be required to leave the room, or their campaign, or the Event itself, and if so, will forfeit any right to refund of any costs or any compensation whatsoever for their loss of participation or the manner of their removal.

TVI maintains the sole responsibility for deciding if guests and players should be removed from the event or from their campaign or from the room they are in, and will contract the use of security staff to ensure a safe and swift removal if necessary.
Health and Safety Protocols

TVI is committed to the health and safety of all attendees. Measures against the spread of infectious diseases will adhere to the protocols set forth by the leading recognized public health authority in the country where the event is held.
Refundable Booking Terms and Conditions (D&D in a Castle Only)
Upgrade your D&D in a Castle booking for each guest and receive a 100% refund if the specified guest cannot attend for one of the many reasons listed below as part of our Refundable Booking Terms and Conditions, which you accept when you purchase a Refundable Booking upgrade.

General Conditions of Refund

We do not refund for any reason associated with a Communicable Disease pandemic or epidemic, including Covid-19.

Any reason for refund must not be foreseeable at the time You made the Booking.

We do not refund if You made Your Booking by mistake, or it is no longer wanted or needed.
-
You must make all arrangements to Attend the Booking, including arranging any necessary travel or documents, and allowing suitable travel time.

You will be asked to provide supporting evidence at Your own expense, and a copy of the Booking confirmation.

Maximum refund value per person will not exceed the total value of their share of the Booking.

Refund Categories
Illness / Injury
means an Illness or accidental Injury to a person in the Booking or an Immediate Relative.
What we do not refund

Where you cannot provide evidence that the person affected is within the Group due to Attend the Booking.

Telephone or online consultations.

Where You have not been physically examined by a Doctor prior to the date of the Booking.
-
Conditions that are unpredictable and the event is more than two months in the future.
Evidence required
Doctor’s note or Medical Certificate confirming:

The details of the illness or injury,

The date it first occurred,

A statement that it prevents the person from Attending.

Proof of relationship.
Pre-existing Medical Condition
means a physical or mental health condition that You already had when You made the Booking that would not normally prevent You Attending.
What we do not refund

Where guidelines for Your pre-existing medical condition would normally prevent You from Attending the Booking.
-
Telephone or online consultations.
-
Conditions that are unpredictable and the event is more than two months in the future.
Evidence required
Doctor’s note or Medical Certificate confirming:

-
the date it changed,
-
that it prevents the person from Attending.
Pregnancy Complication
means a complication of pregnancy You were unaware of when Booking and which means You cannot Attend the Booking.
What we do not refund

Normal Pregnancy.
Evidence required
Doctor’s note or Medical Certificate confirming:

details of the complication,
-
the date it occurred,
-
that it prevents the person from Attending.
Death
means Your death any time prior to the Booking or the death of an Immediate Family member or any person(s) in the Group due to Attend the event, up to 35 days prior to the date of the Booked event.
What we do not refund

Where you cannot provide evidence that the person was within Your Immediate Family or in the Group due to Attend the Booking.

A death certificate.

Proof of relationship.
Public Transport Failure
means unexpected disruption or failure of the public bus, train, tram or ferry network which is not foreseeable before the date of the Booking.
What we do not refund
-
If there is a financial failure of any Transport provider.
-
Heavy traffic or road closures.
Evidence required
-
Confirmation of failure or disruption of the public transport. (This can normally be obtained from the transport company’s website).
Flight disruption
means cancellation or significant delay of flight(s) which You were unaware of before the date of the Booking, that prevents You from Attending Your Booking.
What we do not refund
-
If You were aware of the disruption prior to the date of the Booking and did not make reasonable suitable alternative travel arrangements.
-
If there is a financial failure of any Transport provider.
-
If the purpose or reason for which You booked Your flight in order to Attend has altered or been cancelled.
Evidence required

A copy of Your airline ticket and notice of cancellation or disruption from the airline.

Verification that no alternate travel options exist with reasonable
Mechanical Breakdown
means in the 24 hours prior to the Booking, the mechanical breakdown, accident, fire or theft of a vehicle taking You to the Booking.
What we do not refund

If You did not leave sufficient time to travel to the Booking.
-
If You did not make reasonable alternative arrangements to Attend the Booking.
-
Any vehicle You plan to use during the Booking.
Evidence required

Breakdown – A copy of the call out note from a national breakdown recovery service.
-
An incident number or report from the Police or relevant traffic authority.
Adverse Weather
means weather where a Government Agency has issued warnings not to travel which mean You cannot Attend.
What we do not refund

Adverse weather with no Government Agency warnings not to travel.
Evidence required
-
A copy of the travel warning from the Government Agency.
-
Confirmation of relevant route closures.
Home Emergency
means a Burglary, Fire, Malicious Damage or Flood at Your main private residence within 48 hours immediately before the Booking.
What we do not refund
-
Any Home Emergency for which You cannot provide Evidence as below.
Evidence required
-
Burglary, Flood, Malicious Damage – A Police reference number or evidence from the submission of a claim to Your home insurance company.
-
Fire – A report from the fire service and/or police.
Theft of Document(s)
means the theft of a document necessary for the Booking, which cannot be replaced in time for the Booking.
What we do not refund
-
If the documents can be replaced in advance of the Booking or on the day.
-
Lost documents.
Evidence required
-
A police report confirming details of the theft.
-
Proof that the passport has been reported to and cancelled by your Government Agency.
-
Confirmation that the document cannot be replaced in time for the Booking.
Relocated for Work
means a requirement to move address imposed on You by Your current employer, unknown to You at the date of Booking. The move may be temporary or permanent and must be to a location that makes the travel requirement to Your Booking unreasonable.
What we do not refund
-
Attendance at business meetings and business travel.
-
Any temporary relocation for work must be for a period of at least 3 months.
-
Voluntary relocation or where you are changing employer for a new role.
-
Where You are the business owner or registered Director, or a member of Your family is.
Evidence required
-
A letter from Your current employer confirming the relocation details.
-
Evidence of living at the new address.
Armed Forces & Emergency Services Recall
means You as a member of the Armed Forces, Reserve Armed Forces or Emergency Services are recalled to work on the date of the Booking or are posted overseas and cannot Attend the Booking.
What we do not refund
-
You were aware of or had scheduled work on the date of the Booking, prior to making the Booking.
-
You made an unsuccessful request for annual leave for the date of the Booking.
Evidence required
-
A note from Your Commanding Officer or Line Manager to confirm being called into work or duty and that this was not Your original schedule.
Jury Service
means a summons for You to Attend Jury Service over the date of the Booking of which You were unaware at the time of making the Booking.
What we do not refund
-
Any Jury Service for which You cannot provide Evidence as below.
Evidence required
-
A copy of the letter requiring Jury Service.
Court Summons
means You are summoned to appear as a witness in court proceedings on the day of the Booking of which You were unaware of the time of making the Booking.
What we do not refund
-
Any Court Summons in which You are not there as a witness, including civil and criminal cases where you are involved in the case yourself as the plaintiff or defendant.
Evidence required
-
A copy of the Court Summons.
Changes to Examination Dates
means the unforeseen change of the date of an examination that You are already registered to the day(s) of the Booking.
What we do not refund
-
If You failed the examination previously and had to re-sit.
-
Where the examination is being provided by a commercial business (not by an educational board).
Evidence required
-
A copy of a notice from the examination body, school, college, university confirming the change of date.
Emergency Circumstances
means an unforeseen circumstance completely outside Your control and of no fault of Yours. The decision to refund is entirely at the discretion of our Customer Experience Team. We will consider these circumstances and have no obligation whatsoever to provide a refund.
What we do not refund

Anything which our Customer Experience Team considers is not intended to be included in this list of valid reasons for refund.

Any change to your work schedule (other than the specific situations listed under Work Relocation or Emergency Services Recall sections of these terms).
Evidence required

Any evidence requested by our Customer Experience Team to verify the emergency circumstances.

We do not refund for non-Attendance of a Booking directly or indirectly associated with:

actual or perceived: wildfires, volcano eruption, tsunami, earthquake; war, hostilities, terrorism, civil commotion; strikes and industrial action; imprisonment, repatriation, deportation; poisonous biological materials, radioactivity; Cyber Incident or Cyber Act; state property seizure;
-
naturalization, visa, in-vitro fertilisation or other appointments;
-
failing to comply with any law;
-
any Booking emanating from Cuba, Iran, North Korea, Sudan or Syria;
-
where exposed to any sanction, prohibition or restriction under United Nations resolutions or the trade or economic sanctions, laws or regulations of the European Union, United Kingdom or United States of America.
-
if it exceeds 18 months from the date originally booked to the conclusion of the transacted event.
Definitions
The following words or phrases have the meaning shown below wherever they appear in bold in this document.

We/Us/Our – We are the Booking agent with whom You made the Booking.
-
You/Your/Yourself – A person who has made a Booking alone or as part of a group with Us.
-
Provider – the company or organisation that is responsible for the running of the booking
-
Armed Forces – Naval Service, Marines, Army or Air Force.
-
Attend – participate in, take part in, use, or be present at.
-
Booking – The pre-planned and pre-booked service(s)/event(s)/flight(s)/ticket(s) transacted with Us by You.
-
Communicable Disease – means any disease capable of being transmitted from an infected person or species to a susceptible host, either directly or indirectly, that has caused quarantinesor restriction of movement of people.
-
Doctor – A qualified medical practitioner registered and licensed with a recognised professional body. A doctor cannot be You or a member of Your family.
-
Emergency Services – Police, Fire and Rescue Service or other Emergency Services.
-
Immediate family – Your husband, wife, partner, civil partner, parent, child, brother, sister, grandmother or grandfather, or stepfamily.
-
Immediate household – persons living together at the same permanent address.
-
Paying Party – Any organisation or body who has a legal liability to pay compensation for the failure of the service, against whom You have a right of refund.

Any translation of this document from English is for assistance and information only. In event of a Refund Application the English language version shall be the basis of settlement.

These reasons for refund are considered on an entirely discretionary basis and are not to be taken as a guarantee of refund.

This is not an insurance policy. A Refundable Booking is an optional extension to Our standard Terms & Conditions of sale and trade, and it provides a refund for certain defined circumstances outlined in this document.
D&D Weekends Terms and Conditions

Event Cancellation: If TVI cancels either the event or the registration of a guest at an event, the liability of TVI for that cancellation is limited to the refund of amounts paid by or on behalf of the guest towards registration at the Event, including any upgrades. registration at a different D&D Weekends event, subject to space

DM Cancellation: If a DM is no longer able to attend the event, TVI will notify all guests at the email used by the guest on registering for the event. TVI may cancel the event or engage a replacement DM. If TVI engages a replacement DM, and no response is received for a guest within 7 days of such notice, the guest will be considered to have accepted the change of DM.

Within 7 days of receiving such notice, guests registered at that event will have the option of selecting:

store credit for all amounts paid by the guest for registration at the event

registration at a different D&D Weekends event, subject to space
-
a refund of the amounts paid by the guest for registration at the event.

Dungeon Master University Terms and Conditions
Registrations for any Dungeon Master University (“DMU”) Event in 2026 are governed by the terms below. By registering, the purchaser (“Guest”) agrees to abide by these terms.
Payments, Cancellations, and Refunds
Full refund within 7 days of purchase. Tabletop Vacations Inc. (“TVI”) will provide a full refund of any amounts paid to TVI for the DMU registration, provided the request for refund is made within 7 days of payment. Requests must be made by email to contact@dndinacastle.com.
Except as expressly provided herein, all registrations, upgrades, and tier add-ons are non-refundable and are not exchangeable for credit.
Transfers. A DMU registration may be transferred to another person for a $100 administrative fee. All transfer requests must be made in writing to support@dndinacastle.com no later than 7 days before the event start date and are subject to TVI approval.
No Refundable Booking Protection. Refundable booking protection or similar third-party “refund insurance” is not offered and not recognized for DMU registrations.
Event Schedule, Faculty, Courses, and Seminars
Program Format. Each Guest selects one Primary Course (e.g., Skill Building, Campaign Building, Worldbuilding, or Career Building). Primary Courses run for approximately 2 hours each morning and afternoon (total ~8 hours over the event). Additional seminars (~45–60 minutes) run throughout both days and are open access unless otherwise specified.
Faculty and Schedule Changes. TVI may substitute Faculty, rearrange the schedule, modify course outlines, adjust seminar offerings, or make other program changes at any time. Such changes do not entitle a Guest to a refund except as provided below.
Primary Course Changes/Cancellation. If a Primary Course is cancelled or materially altered such that TVI cannot provide a substantially similar alternative:

TVI will offer the Guest a seat in another Primary Course with available space; and
-
If no acceptable alternative is available at the time of notice, the Guest may elect store credit for the DMU registration amount or transfer to a future DMU (subject to space).
The DMU Event itself proceeding as scheduled does not entitle a Guest to a refund of registration fees due to specific Faculty substitutions or topical adjustments.
Game Labs, Office Hours, and Game Audit. Evening Game Labs, Office Hours, and Game Audit opportunities are space-limited and scheduled at TVI’s sole discretion.

Silver Tier: access to Game Labs on a space-available basis; Office Hours not included.
-
Gold Tier: one Office Hour appointment and premium Game Lab access.
-
Platinum Tier: one Office Hour appointment with priority sign-up and a Game Audit session.
Failure to attend a scheduled slot, or removal for cause under these terms, forfeits that slot without refund or credit.
Event Cancellation by TVI
If TVI cancels the DMU event, TVI’s liability is limited to the refund of amounts paid by or on behalf of the Guest for DMU registration (including eligible upgrades). Within 7 days of receiving notice of cancellation, a Guest may choose:

Store credit for all amounts paid for DMU registration;

Registration at an equivalent TVI event, subject to availability; or

A refund of amounts paid for DMU registration.
If no response is received within 7 days, TVI will issue store credit in the amount paid for registration.
Venues, Hotel, and Transportation
Venues. DMU programming occurs at Oglethorpe University, 4484 Peachtree Road NE, Brookhaven, GA 30319 (the “Venue”). The DMU partner hotel is the JW Marriott Buckhead, 3300 Lenox Rd NE, Atlanta, GA 30326.
Hotel. Accommodation is not included in DMU registration. TVI may offer a group rate and booking link; rooms are subject to hotel availability and hotel policies. The Guest’s hotel booking is a separate agreement between the Guest and the hotel.
Local Transportation. As advertised for DMU, train transit between the partner hotel and the university during event days is included for registered Guests (one round trip per event day). TVI will advise times and instructions by email no later than 7 days prior to the event. TVI does not compensate alternate transportation chosen by a Guest outside the provided inclusions.
Liability
TVI makes no representations or warranties regarding the Faculty, hosts, Venues, hotels, service providers, or other Guests, and is not responsible for any loss or damage caused by any Faculty member, Venue or Venue staff, hotel or hotel staff, service provider, or Guest.
Guests assume responsibility for their personal property and agree that TVI is not liable for loss, theft, or damage to any property brought to DMU.
Media, Photography, and Course Materials
Personal Capture. Guests may take photographs or short video for personal use only, provided that such capture does not disrupt sessions and complies with Faculty and Venue rules.
Recording Restrictions. Recording of classes, seminars, Office Hours, or Game Labs is prohibited without express permission from TVI and the relevant Faculty. TVI may revoke permission at any time.
Course Materials. Slides, handouts, and other materials provided at DMU are for the Guest’s personal, non-commercial use. Reproduction, distribution, publication, or commercial use is prohibited without written permission from TVI and/or the rights holder.
Event Capture by TVI. Common areas may be treated as public spaces for media capture. By attending, Guests grant TVI and its partners a non-exclusive, royalty-free license to use their image/likeness captured in such spaces for promotional or other lawful purposes, without further compensation.
Indemnity and Risk
Guests assume all risks associated with attendance and participation in DMU activities. Guests agree to indemnify and hold harmless TVI, its employees, contractors, and assigns, from any claim, loss, liability, damage, or expense arising from the Guest’s actions or omissions, whether negligent, willful, or otherwise.
Code of Conduct; Harassment & Removal
Guests agree to treat all participants—Faculty, staff, volunteers, and other Guests—with respect, courtesy, and goodwill. Harassment and unacceptable behavior (including but not limited to unwanted physical contact or sexual remarks, hate speech, illegal drug use, gross intoxication, or repeated disregard of these Terms) constitutes a breach of contract.
TVI reserves the right, in its sole discretion, to limit or terminate a Guest’s participation for conduct that compromises safety, learning environment, or enjoyment of others. A Guest removed for cause forfeits all fees and is not entitled to refund or compensation.
Health and Safety
TVI follows health and safety measures consistent with guidance from applicable public-health authorities. TVI may implement on-site protocols and requirements (e.g., symptom screening) at its discretion. Compliance is a condition of participation.
Accessibility and Dietary Needs
TVI strives to make reasonable accommodations for accessibility and dietary needs. Guests must communicate such needs to support@dndinacastle.com at least 14 days prior to the event. While TVI will make good-faith efforts, accommodations cannot be guaranteed.
Miscellaneous

Minimum Age: Unless otherwise posted for a specific DMU, Guests must be 16 years or older; minors must be accompanied by a registered adult and may be restricted from certain sessions at TVI’s discretion.

No Vending/Promotion: Guests may not vend, give away, or promote goods or services during DMU without written consent from TVI.

Force Majeure: TVI is not liable for delays or failures caused by events beyond its reasonable control (including acts of God, labor disputes, public health emergencies, or actions of authorities).

Conflicts: If there is a conflict between this DMU section and any general TVI terms, this DMU section controls for DMU registrations.
